Sample Letter

Dear Sir/Madam

This is to request a duplicate certificate for the advanced STATS 302 course that I completed from your institute last month. My student ID no. is 23455. The certificate was awarded to me at the graduation ceremony yesterday, the 25th of November. Unfortunately, while I was aboard the train to return to my hometown, my bag, in which I had kept my certificate, was stolen.

Hoping to retrieve my bag, I immediately informed the railway authorities and even filed an FIR at the local police station, but in vain. I need a duplicate copy of the certificate urgently as I am joining a new job (at MakeMyTrip) in the coming week. It is crucial that I present this certificate there for verification within a week of joining.

Therefore, I would be grateful if you could get the physical copy certificate couriered to my residential address at the earliest possible. If needed, I will bear the cost of the duplicate certificate as well as the courier. Moreover, in the meanwhile, I would appreciate it if a soft copy of the certificate is emailed to me.

Thanks for your time. Considering the urgency of the situation, prompt action in this regard would be highly appreciated.

Yours faithfully,
John Smith
